Terms and Conditions:

1. Booking and Payment Terms
  • Deposit: A non-refundable deposit of 50% is required to secure the event date. For bookings made more than 14 days in advance, payment is due within 7 days of the invoice date.

  • Last-Minute Bookings: For agreements made 14 days or less before the event, the deposit is due immediately upon receipt of the invoice.

  • Final Balance: The remaining 50% must be paid no later than 5:00 PM (local time) the day before the event.

  • Non-Payment: If the final balance is not received by the deadline, Balloon CG reserves the right to cancel all services and withhold the display of visuals. The initial deposit will be forfeited.

  • Major Changes: If the client requests a major change to the artwork, screen dimensions, or scope of work, the payment due date and project timeline will reset. A new deadline and potentially updated fees will be issued to account for the additional labor.

2. Technical Specifications & LED Standards
  • Measurement Standard: Pricing is based on LED screen panels with a standard pixel pitch of 256x256 pixels per meter.

  • Custom Scaling: If the venue’s screen uses a different pixel pitch or resolution, charges will be calculated based on the total number of pixels rendered rather than square meters.

  • Location Requirements: The client must provide a safe, covered, and ventilated workspace for the operator with stable power and direct access to the LED media server/processor.

3. Artwork, Revisions, and Delivery
  • Creative Process: Artwork is created based on client-provided information. Each artwork includes two (2) rounds of revisions and one (1) final minor edit.

  • Submission Timeline: Initial drafts will be submitted approximately one week before the event (provided the deposit has been paid). All work will be finalized 24 hours before the event.

  • Preview Security: To protect intellectual property, full-resolution files will not be sent via any digital platform. Previews are provided only via watermarked photos or mobile screen-recordings of the computer screen.

4. Event Timing & Working Hours
  • Standard Hours: The service fee covers a standard 8-hour shift.

  • Start Time: The default start time for weddings is 7:00 PM unless otherwise specified in writing.

  • Overtime: Any hours exceeding the 8-hour limit will incur additional hourly fees, which must be agreed upon and paid according to the "Finalization" terms.

5. Travel and Accommodation
  • Geographic Zones: For events located outside of Cairo (Egypt), Alexandria (Egypt), or Riyadh (Saudi Arabia), the client is responsible for all transportation and accommodation costs for the operator. These must be arranged or reimbursed prior to the event.

  • Travel and accommodation fees are waived for events within the metropolitan areas of Cairo, Alexandria, and Riyadh. For all other locations, the client is responsible for round-trip transportation and standard hotel accommodation.

6. Intellectual Property & Conduct
  • Ownership: All visual content created by Balloon CG remains the exclusive intellectual property of Balloon CG. The client is granted a limited license for use at the specific event listed.

  • Portfolio Right: Balloon CG reserves the right to use snippets or recordings of the work for promotional and portfolio purposes (social media/website) unless otherwise agreed in writing.

  • Professionalism: Both parties agree to maintain a respectful and professional environment throughout the engagement.

  • Operator Welfare: For events exceeding 5 hours, the client agrees to provide the operator with one (1) hot meal and a seated break. The meal should be provided at the same time as guest service to ensure the operator is back at the station for all major event segments.

  • Mutual Respect: Both parties agree to maintain a professional, polite, and respectful environment at all times.

  • Zero Tolerance Policy: Balloon CG maintains a zero-tolerance policy for harassment, verbal abuse, physical threats, or any form of discrimination.

  • Right to Terminate: If the client, their guests, or their representatives engage in abusive behavior toward the Balloon CG operator, Balloon CG reserves the right to immediately terminate services and leave the premises.

  • No Refund for Conduct: In the event of termination due to client misconduct, no refund will be issued for the deposit or the final balance, and the client remains liable for any outstanding fees.

7. Cancellation & Force Majeure
  • Cancellation: Cancellations made more than 30 days before the event will receive a full refund of the deposit. Cancellations made 30 days or less before the event result in a total forfeit of the deposit.

  • Force Majeure: Neither party is liable for failure to perform due to "Acts of God" (natural disasters, war, government sanctions, or total failure of national electricity/telecommunications).

  • Equipment & Venue Liability: Balloon CG is not liable for technical failures originating from the venue’s hardware, including LED screen malfunctions, signal loss from venue cables, or power outages. Furthermore, the client is responsible for any damage to Balloon CG’s equipment (laptops, controllers, etc.) caused by the client, their guests, or liquid spills at the workstation.

8. Liability & Governing Law
  • Liability: Balloon CG is not liable for indirect, incidental, or consequential damages.

  • Governing Law: These terms are governed by the laws of the jurisdiction in which Balloon CG operates.
